Summary
Greenpeace Nordic is looking for a person to temporary take on the role as the Programme Assistant to the Programme Manager in Sweden. The position is based in Stockholm and will report to the Programme Manager in Sweden..
Working languages for Greenpeace Sweden are Swedish and English.
The position is a 40% temporary position, which starts mid - end of March 2018 and ends 31st of December 2018.
Main tasks and responsibilities
Work closely with the Programme Manager to ensure smooth delivery of Greenpeace campaigns, programme integration and diversity & inclusion.
Facilitate and follow up programme planning meetings, evaluations, trainings, and other events
Co-ordinate the introduction programme for new employees
Support with office integration, including close co-operation with recruiters, volunteers and the action center
Manage co-ordination across projects via Smartsheet (staff allocation, timing of projects, etc)
Create and manage hard and soft filing systems for documentation
Secure venue and catering for meetings. Provide other logistical support as needed
Respond to external requests as needed
Work with the Programme Manager in the preparation of budgets and monitoring of expenditures

Required personal skills and characteristics

Ability to securely manage multiple tasks and to stay calm in busy times

Certain availability and flexibility to work outside regular working hours, including occasional evenings and weekends

Availability for domestic travel (days)

Strong commitment towards engaging volunteers of all different walks of life

Strong social and team working skills
Knowledge & Skills

Fluency in spoken and written Swedish and English language

Strong facilitation skills to lead co-creational group processes and inspiring meetings

Strong conversational and written communication skills for internal and external communications

Good knowledge of using common social media platforms

An understanding of creating change through campaigning

Good project management skills to deliver projects
-
Profound understanding of the mechanics of successful volunteer engagement

Good knowledge of using Microsoft Office applications of equivalents
Experience

Experience in managing volunteers
-
Experience in developing and delivering trainings and facilitating meetings
-
Experience in engaging in or managing an online community / managing volunteers in an online environment
-
Experience in working in a campaigning environment or political context is considered to be a strong plus
